As a part of the IT Excellence portfolio, the Office of Information Technology (OIT) launched the Email Transition & Modernization Project to enhance security, improve reliability, and streamline digital collaboration across campus.
But this isn’t just an IT update—it’s a step toward a smarter, more unified way of working. Aligned with the Operations, Finance & Support (OF&S) strategic plan, the project reflects Rice’s continued investment in modern tools, resilient infrastructure, and better digital experiences for all.
A Simpler, Smarter Email Experience
Until recently, roughly 4,000 users relied on Cyrus email (also known as Webmail). OIT is now migrating these users to Gmail, Rice’s default email platform since 2021. Once complete, users will benefit from a consistent, secure, and user-friendly experience.

This isn’t just a change in inbox—it’s a long-overdue upgrade to Rice’s email infrastructure, with tangible benefits:

Fewer tech headaches – Cyrus relies on aging hardware; Gmail is cloud-based, secure, and always current.

Access anywhere – Gmail works on any device with a web browser, simplifying remote work.

Progress to Date & What’s Next
The transition is happening in phases, with users grouped into “migration flights” by school or division. OIT is partnering with campus leaders to ensure a smooth rollout.
As of April 2025, more than 98% of Cyrus accounts—3,520 users and nearly 190 million emails—have been successfully migrated to Gmail.
Next up: migrating around 1,500 shared mailboxes (Organizational Accounts), along with upgrades to systems that support account security and functionality behind the scenes.
